WhatsApp Automation for Small Businesses: The Complete Guide
By The Darklight Team
Your customers are already on WhatsApp. They message you at 11 PM asking about prices, they forget appointments, and they abandon carts. Most small businesses handle all of this by hand, from one phone, and many leads simply go unanswered.
WhatsApp automation fixes that: instant replies, reminders and follow-ups that run on their own while your team focuses on selling.
WhatsApp Business App vs WhatsApp Business API
| WhatsApp Business App | WhatsApp Business Platform (API) | |
|---|---|---|
| Cost | Free | Pay per message (see below) |
| Users | One phone + linked devices | Many team members, shared inbox |
| Automation | Basic greeting and away messages, quick replies | Full chatbots, CRM integration, triggered messages |
| Bulk messaging | Broadcast lists only to people who saved your number | Approved template messages to opted-in customers |
| Green tick | Not available | Can apply for verification |
| Best for | Very small shops, solo owners | Businesses with regular leads or orders |
You access the API through an official Business Solution Provider such as Interakt, AiSensy, WATI or Gupshup, or directly through Meta's Cloud API.
How WhatsApp API pricing works (2026)
Since 1 July 2025, Meta charges per message instead of per conversation (Meta developer docs). What that means for you:
- Marketing templates (offers, launches, re-engagement) are charged per message.
- Utility templates (order updates, reminders) are charged, but are free when sent inside an open customer service window — the 24 hours after a customer messages you.
- Authentication templates (OTPs) are charged per message.
- Normal replies inside the customer service window are free.
- When someone messages you from a Click-to-WhatsApp ad, you get a 72-hour free messaging window.
Your provider also charges a monthly platform fee. Always check the current per-message rates for India with your provider before planning big campaigns.
7 WhatsApp automations every small business should have
- 1Instant lead reply — A website form or ad lead gets a WhatsApp message in seconds with your brochure, price list or catalogue.
- 2FAQ bot — Answers common questions (timings, location, prices, services) day and night, then hands over to a human.
- 3Appointment booking and reminders — Customers pick a slot; they get a confirmation and a reminder the day before. Clinics, salons and consultants see fewer no-shows.
- 4Order updates — Order confirmed, shipped, out for delivery. Fewer "where is my order?" calls.
- 5Abandoned-cart recovery — A friendly reminder (with consent) to customers who left items in the cart.
- 6Review requests — After a service or delivery, send your Google review link. More reviews means better Google Maps ranking.
- 7Follow-up sequences — No reply in 24 hours? A polite follow-up with a case study or offer goes out automatically.
What's allowed (and what gets you banned)
- Only message people who have opted in to hear from you.
- Use approved templates for messages outside the 24-hour window.
- Always give an easy way to opt out ("Reply STOP").
- Don't buy number lists or send unsolicited bulk messages — low quality ratings can limit or block your number.
Adding AI to WhatsApp
An AI assistant trained on your services, prices and FAQs can understand free-text questions in English, Hindi or Gujarati, qualify the lead and book a call. Keep it safe: train it only on approved content, set limits on what it can promise, and hand off to a person when unsure.
How to get started
- 1List the 3 questions customers ask most and the 1–2 moments leads go cold.
- 2Choose a provider and connect a dedicated business number.
- 3Get your message templates approved.
- 4Connect WhatsApp to your website forms and CRM.
- 5Launch one workflow, measure it for two weeks, then add the next.
